Hybrid Senior Executive Assistant to the CEO and COO

A successful private equity firm focused on utilities and infrastructure services is looking for an Executive Assistant to support the CEO and the COO. The company has a team of 18 with a partnership and people-first culture that is direct and highly collaborative.
In practice
some days you're building the year's investor relations outreach plan; some days you're washing champagne glasses before the deal-close toast. The best person in this seat is comfortable with both and understands that neither is beneath them. You will hold two different operating styles side by side. The CEO runs high-variance plans change Monday for the week ahead. The COO runs more structured she wants confidence that what she can't see is still moving. Neither should have to think about it; when either of them does, that's a signal for you. Both want a partner who originates rather than waits, filters raw noise into a decision, pushes back when a deadline is slipping, and never comes back with a flat no always with options.
The Role is hybrid
in-office Monday, Tuesday, and Thursday, remote Wednesday and Friday.
About the Job
Coordinate and prioritize meetings for the
CEO Manage both executives' calendars, inboxes, and end-to-end travel
anticipate disruptions, make it seamless for them, and focus their attention on the most critical matters. Reconcile expenses; prepare pre-meeting briefings for high-stakes external meetings (investors, portfolio company CEOs, board members, etc.): the background, the three things they need to know, and the ask Partner with each executive's household (nannies, house managers, family calendars) to keep personal and professional commitments in balance Handle personal travel, appointments, errands, gifts, and life administration with the same discretion, quality, and follow-through as the professional work
Own the office day-to-day
front-of-house, supplies, vendors (IT, AV, cleaning, catering, building services), meeting logistics, and the physical experience of the team and visitors
Build and maintain office SOPs
onboarding checklist, in-office rhythms, vendor directory Coordinate leadership-team touchpoints monthly team meetings, investor touchpoints, and the annual talent cycle Plan and execute internal and external events end-to-end (retreats, holiday party, closing dinners, investor days): agenda, speakers, logistics, budget, follow-through Lead cross-functional initiatives at the executives' direction e.g., the firm's new-hire onboarding playbook, an investor relations outreach plan, AI tooling standardization, the annual talent review cycle Bring structure to ambiguous problems and build the systems that help the firm operate. Draft and design internal and external communications monthly team decks, investor updates, board materials, portfolio company presentations Use AI (Claude, ChatGPT, Copilot) and design tools (Canva, PowerPoint) fluently as accelerators, not replacements for judgment.
Own the quality of anything your executive's name goes on About You
Minimum of 7 years of experience supporting a CEO BA/BS from a college or university a plus Comfort operating inside an intimate 1520 person environment without the institutional scaffolding of a large employer; fluent written communication across investors, founders, board members, and internal partners
Advanced tool fluency
Microsoft/Google suites, expense platforms, at least one AI model (Claude, ChatGPT, or Copilot), and at least one design tool (Canva or PowerPoint) used at a high level.
